1. Purpose
This policy sets out Hybrid Core BV's commitment to protecting the health, safety, and wellbeing of all its employees and other people affected by its activities. It reflects the company's obligations under applicable Belgian and EU health and safety legislation and its genuine commitment to the physical and psychological wellbeing of its workforce.
2. Scope
This policy applies to all employees, contractors, visitors, and any other persons present in Hybrid Core BV workplaces or participating in company activities. It covers both physical health and safety and psychological wellbeing, including the management of work-related stress.
3. Policy statement
Hybrid Core BV is committed to providing a safe, healthy, and supportive working environment. We aim to prevent work-related injury, illness, and stress, to provide appropriate support when health problems arise, and to foster a culture in which wellbeing is genuinely valued and actively promoted.
4. Principles
4.1 Safe working environment
We identify and manage physical safety risks in all work environments, including office spaces, remote working locations, and any sites visited in connection with business activities. Risk assessments are conducted for activities that present a health or safety risk.
4.2 Remote and hybrid working
Given the nature of our operations, many employees work remotely or in hybrid arrangements. Employees are responsible for ensuring that their home working environment is safe and ergonomically appropriate. The company provides guidance on safe remote working and will support reasonable requests for ergonomic equipment.
4.3 Mental health and psychological wellbeing
Hybrid Core BV recognises that psychological wellbeing is as important as physical safety. We work to create a working environment and culture that supports mental health, including manageable workloads, open communication, and access to support where needed. Work-related stress is treated as a health and safety matter.
4.4 Work-life balance
We encourage employees to maintain a healthy balance between work and personal life. Sustained excessive working hours are neither expected nor encouraged. Managers are responsible for monitoring workloads and supporting sustainable working practices.
4.5 Incident prevention and reporting
Near-misses, accidents, and unsafe conditions must be reported promptly. The company investigates incidents to understand their causes and implements corrective measures to prevent recurrence. Employees will not face adverse consequences for reporting safety concerns in good faith.
4.6 Emergency preparedness
Appropriate emergency procedures are maintained for all premises where Hybrid Core BV personnel work. First aid provisions are maintained in accordance with applicable requirements. Employees are informed of emergency procedures relevant to their working location.
5. Responsibilities
5.1 Management
Management is responsible for providing a safe working environment, conducting and reviewing risk assessments, ensuring that safety procedures are communicated and followed, and responding promptly to reported safety concerns or wellbeing issues.
5.2 Employees
All employees are responsible for following health and safety procedures, for reporting hazards or incidents, for taking reasonable care of their own health and safety and that of colleagues, and for seeking support when they are experiencing difficulties with their wellbeing.
6. Support resources
Hybrid Core BV encourages employees to seek support when needed. Available resources include:
- Line managers and management team for work-related concerns
- Access to occupational health support as appropriate
- Signposting to appropriate external mental health resources
7. Reporting and compliance
Health and safety incidents, near-misses, and concerns must be reported to management as soon as possible. Reportable incidents will be notified to the relevant Belgian workplace safety authority as required by law. Hybrid Core BV cooperates fully with any regulatory inspection or investigation.
8. Monitoring and review
Health and safety performance is reviewed through regular management oversight. This policy is reviewed at least every two years or following a significant incident or change in applicable regulation.
9. Communication and awareness
Health, safety, and wellbeing information is provided to all employees at induction and is reinforced through regular communications. This policy is published on the company's internal systems and updated procedures are communicated promptly.
10. Review cycle
This policy is reviewed every two years by the Hybrid Core Management Team or sooner following significant incidents or legislative changes.
